ABOUT THE JOB

Wilson Daniels is seeking a highly organized and detail-oriented Sales Administrator to provide comprehensive administrative support to the sales and marketing team. This role requires a proactive approach, strong communication skills, and the ability to manage multiple tasks efficiently.

ESSENTIAL FUNCTIONS/THE DAY-TO-DAY

  • Assist management with travel planning, booking, and expense reporting.
  • Develop and maintain presentation templates for the sales team.
  • Take notes during management calls and follow up on action items.
  • Coordinate and host visits from distributors, customers, team members, and producers.
  • Proactively manage and analyze Distributor Network Reporting to ensure accuracy.
  • Collaborate with the business intelligence team to maintain data integrity.
  • Manage sales and marketing travel calendars.
  • Follow up on sales leads and market event opportunities.
  • Support the planning and execution of National Sales Meetings.
  • Manage general office tasks, including filing and correspondence.
  • Serve as a superuser of company administrative systems.
  • Maintain accurate contact lists for distributors, producers, and internal teams.
  • Create one-off reports for programming updates, account analysis, etc.
  • Manage relationships with hotel partners.
  • Organize and maintain SharePoint folders.
  • Handle ad-hoc tasks as needed.

Education & Experience:

  • Bachelor’s degree preferred
  • 0 - 3 years in an administrative support role, customer service experience or relevant experience
  • Can be located in New York, NY or Napa, CA

Skills:

  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to multitask and prioritize tasks effectively
  • Detail-oriented and accurate
  • Ability to work independently and as part of a team
  • Experience with business intelligence tools preferred
  • Knowledge of the entertainment industry preferred
  • Experience with SharePoint preferred
  • Must be able to travel x% of the time

Physical requirements

  • Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards.
  • Lifting and carrying: this role may involve lifting and carrying product samples, promotional materials, or demonstration equipment up to 50 lbs.
